5 things to do before hiring your virtual assistant

Well, the time has finally come, your private practice is getting more established by the day, and you can start to see the light after all your hard work! Good for you! This next chapter in your business calls on support and building a small but mighty team to continue the growth of your business. That's right; it's time to bring a Virtual assistant to the team. Not just any VA; you need the perfect match. Before you dive in to hire your VA, you need to ensure you both will be set up for success. Here are five things you need to do before bringing on your VA. Trust me, it will save you time and headaches down the line.
1) Establish a budget
Before starting your search, it's essential to establish a budget for this addition to the team. Most VAs will create a package that meets your need or by the hour. Either way, review your books and determine what your business can afford. A skilled VA will eventually have an ROI in the 1st few months of working together.
2) Write it out...
How are you going to hire help and don't have an organized plan on what exactly you need help with? Before delegating tasks, write your recurring tasks essential to your current workflow. These tasks should be something you don't have time to do, don't want to do, or shouldn't be doing. By writing this plan, you and your future VA will understand how they can better assist and bring value to your business.

3) Review Current Operations
How are the current operations/ workflows within your business? Unorganized? An experienced operations VA (such as myself) will assist you with cleaning this up as you work together. If the operations are a part of what you're delegating, write a plan of what you would like to see happen with the current processes or workflows. Operations can consist of planning, organizing, directing, coordinating, and controlling the various aspects of production. Make sure you break down one output at a time. 1) Customer Service Flow, 2) Human Resources, 3) Social Media Management. ( this will look different for each business and will not require the same attention)
4) Confirm Lines of Communication
During your consult with your future VA, review what type of communication works best for you. How often does the VA have recaps? Is there a preference between Slack or Google Chat? Confirm which method and how often you want to meet with your VA. As weeks pass of working together, you guys can adjust as needed.
